2.1 Through our website contact form
When you submit an enquiry through our website contact form, we collect:
Your email address
Your phone number
The content of your message or enquiry
2.2 Through donation processing
When you make a donation through JerseyGiving, payment processing is handled by a third-party payment provider. We may receive confirmation of your donation, including your name and the amount donated, but we do not store your full payment card details — these are handled securely by RaceNation/SportsGiving.
2.3 Information about children
Because the nature of our work directly involves supporting families with children receiving medical care, we may collect and hold personal information about children as part of our case management and support services. This may include:
The child's name and age
Medical travel details and appointment information
Contact details of parents or guardians
We treat any information relating to children with the highest level of care and confidentiality. Such information is only collected where necessary to provide our support services and is never shared beyond what is strictly required.
3. How We Use Your Personal Data
We use the personal data we collect for the following purposes:
To respond to your enquiry or request for support
To provide and coordinate family support services, including travel planning and liaison with medical teams
To process and record donations
To maintain records of the support we have provided (stored in our CRM system)
To share relevant information with volunteers or staff members involved in delivering support to you
We will only use your data for the purpose it was collected, unless we have a legitimate reason and legal basis to use it otherwise.
Under Jersey's Data Protection (Jersey) Law 2018 and, where applicable, UK GDPR, we rely on the following legal bases for processing your personal data:
Legitimate interests: To respond to enquiries and deliver the support services you have requested.
Legal obligation: Where we are required to retain records for regulatory or governance purposes.
Consent: Where you have provided information voluntarily, for example via a contact form or donation.
Where we process sensitive personal data — including any health-related information about children — we will ensure an appropriate additional legal basis applies, such as explicit consent or the exercise of official authority.
We may share your personal data with the following parties where necessary:
Volunteers and staff members directly involved in providing your support
Our CRM system provider (used to manage and record support cases)
Third-party payment processors, for the purpose of donation handling
Medical teams or hospital contacts, where you have asked us to liaise on your behalf
We do not sell, rent, or trade your personal data to any third parties for marketing purposes.
Where we share data with third-party service providers, we ensure they have appropriate data protection measures in place and that any sharing is governed by a suitable data processing agreement.
We retain your personal data only for as long as necessary for the purposes set out in this policy. Our standard retention periods are:
Contact form enquiries: 2 years from the date of submission
Active support case records: 5 years from the date the case is closed
Donation records: 7 years, in line with standard financial and regulatory requirements
We will only retain your personal data for as long as is necessary for the purposes set out in this policy. Once data is no longer needed, it will be securely deleted or anonymised.
If you would like us to delete your data sooner, please contact us using the details in Section 1.
We take the security of your personal data seriously. We implement appropriate technical and organisational measures to protect your information from unauthorised access, disclosure, alteration, or destruction. These include:
Secure, password-protected systems for storing personal data
Access restricted to authorised staff and volunteers only
Use of reputable third-party services with their own strong security practices
No method of transmission over the internet is 100% secure. While we do our best to protect your data, we cannot guarantee absolute security. In the unlikely event of a data breach that is likely to result in a risk to your rights and freedoms, we will notify you and the relevant supervisory authority as required by law.

The right to data portability (to receive your data in a structured, machine-readable format)
To exercise any of these rights, please contact us using the details provided in Section 1. We will respond to your request within one month. We may need to verify your identity before acting on your request.
Our services are provided to families, which includes children. We do not knowingly collect personal data directly from children without the knowledge and consent of a parent or guardian.
Where we hold information about a child as part of a support case, this is provided to us by the child's parent or guardian. Parents and guardians may contact us at any time to request access to, or deletion of, data relating to their child.
